Google Drive Automation Example
To illustrate the power of Acrolinx NextGen capabilities with Zapier, let’s explore a common use case: Automating content checks for files in Google Drive. This guide will show you a super powerful, no-code automation workflow. It connects Acrolinx NextGen capabilities with Google Drive using Zapier to automatically keep an eye on your Google Drive documents for content quality. Here’s the really cool part: if a document’s content health score from Acrolinx drops below a certain level, the system automatically sends an email notification to alert stakeholders who need to know. This way, any content issues are caught and handled proactively, right at the source!

Prerequisites
To set up this automation, you will need:
- A Zapier account (Free or Paid plan, depending on your needs).
- A basic understanding of Zapier and its workflow creation.
- A valid Acrolinx NextGen API Key. Don’t have one yet? Join the waitlist, and we’ll email you once your access is approved.
- Access to the NextGen App in Zapier. The Acrolinx NextGen Zapier app is currently in beta. If you’ve received a NextGen API key and want to join the beta, reach out to us—we’ll send you a link to access the app.
- A Google Drive account with a designated folder for monitoring.
- A Gmail account (or other email service supported by Zapier) for notifications.
Automated Content Quality Alert for New and Updated Google Drive Files
Zapier Trigger — Google Drive
This step sets up the event that starts your automation.
- App: Google Drive
- Event: “New File in Folder” or “Updated File in Folder” (select the one that best fits your workflow, “New File” or “Updated File in Folder” is suitable for continuous monitoring of the content).
- Instructions:
- In Zapier, click “Create Zap.”
- Search for and select “Google Drive” as your Trigger App.
- Choose your desired Trigger Event: “New File in Folder” (for new documents) or “Updated File in Folder” (for changes to existing documents).
- Connect your Google Drive account.
- Select the specific Google Drive folder you wish to monitor.
- Test the trigger to ensure Zapier can find a sample file.
Filter — Zapier
This step ensures only relevant file types are processed For eg. TEXT files only (.txt extension)
- App: Zapier (Built-in “Filter” feature)
- Action: Filter
- Instructions:
- Add a “Filter” step immediately after your Google Drive trigger.
- Set up a condition to continue the Zap only if the file is a text document (e.g., “File Extension” “Exactly matches” “txt, doc,docx,gdoc”).
- For this step configure File Extension “Exactly Matches” txt
- This prevents non-text format files from being sent to Acrolinx.
Files — Zapier
This step ensures the relevant text file’s content is extracted and provided as input to the next step.
- App: Add app Zapier Files (Built-in “Files” app)
- Setup Action: Text From File
- Configurations:
- Provide “File” object to the step which returns a New or Update file in the Google Drive folder, from which the text needs to be extracted.
- Encoding - Keep default for Text files “utf8”
Zapier Action — Acrolinx App
This is where the magic happens, sending your content to Acrolinx for analysis.
- Select the app: Acrolinx (Custom App)
- Add Event: “Run Style Check”
- Instructions:
- Add an “Action” step after the Zapier Files trigger.
- Search for and select the “Acrolinx” app.
- Choose the “Run Style Check” Action Event.
- Connect your Acrolinx account using your API Token.
- For the “Content” field, insert the content of the file from the Zapier Files step (e.g., File: (Text)).
- Configure any additional Acrolinx settings as required.(Dialect, Tone, Style configuration etc)
- Test this step to ensure Acrolinx processes the content and returns a score.
- Configuration:
- API Token: Your Acrolinx API Key (generated using the API key SignIn workflow of Acrolinx).
- Content to Check: Map this to the “Text” output from your “Zapier Files” trigger.
- Check Configuration/Profile: Specify the Acrolinx checking configs (values in small as prescribed by Acrolinx)
- Dialect - american_english
- Tone - Formal
- Style Guide - microsoft
- Document Name - add from Google Drive trigger output
- Document Owner - add from Google Drive trigger output
- Document Link - add from Google Drive trigger output
Filter — Zapier (Conditional Action)
This step checks if the Acrolinx score is below a certain threshold or not before triggering a notification.
- App: Zapier (Built-in “Filter” feature)
- Action: Filter
- Instructions:
- Add another “Filter” step immediately after the Acrolinx “Run Style Check” action.
- Set up a condition: For eg. Trigger only if - “Scores Quality Score” “Is less than” “60” (or your desired threshold - add that number in the condition). This ensures the Zap only continues if the content quality score is below your acceptable level.
Files — Zapier
This step generates a text file containing the rewritten and improved content from Acrolinx. The file can be attached to the email notification in the workflow, allowing users to receive both the original content analysis and enhanced content.
- App: Add app Zapier Files (Built-in “Files” app)
- Setup Action: File from Text
- Configurations:
- Text - Provide the rewritten text output set from the previous “Run Style Check in Acrolinx” trigger - name to be searched in the output set is “Rewrite”
- Filename (only plain text file with extension) - Specify the desired filename for the rewritten content that will be generated with extension
- For eg. “Acrolinx Rewritten Content.txt”
Zapier Action — Gmail
The final step: sending an email notification.
- App: Gmail
- Event: “Send Email”
- Setup:
- Add App Gmail by searching the app name
- Action Event - Send Email
- Account - Provide access to desired Gmail Account from which the email will be sent and give required permissions
- Configuration (Field Mapping):
- To: Enter the email address(es) of the stakeholders to be notified.
- Additionally, Owners Email Address can be added from the Google Drive Trigger output set.
- Subject: “Urgent: Content Quality Alert for [File Name]!” (Dynamic “File Name” can also be configured from Google Drive step).
- Body: In the body of email, select the “HTML EMail” from the output of “Run Style Check” trigger of Acrolinx App.
- HTML Report will be embedded in the body of the email being sent to the stakeholders containing the complete HTML analysis report of the Acrolinx Check.
- Attachment: Add “File” output set from the previous step “File from Text” trigger and the generated Rewritten Content text file will be attached to the email.
- To: Enter the email address(es) of the stakeholders to be notified.
- Instructions:
- Add a final “Action” step after the second Zapier filter.
- Search for and select the “Gmail” app.
- Choose the “Send Email” Action Event.
- Connect your Gmail account.
- Fill in the “To,” “Subject,”, “Body” and “Attachment” fields, using dynamic data from previous steps (Google Drive file name, Acrolinx Analysis HTML report, Google Drive file link etc).
- Test this step to send a sample email.
No-Code Tips
- Test Each Step: Always test each step of your Zap individually to ensure data is flowing correctly and actions are performing as expected before activating the entire workflow.
- Rename Each Step: This will make it clear what’s happening at a glance.
- Use Filters: Filters are very useful! They help ensure your Zap only runs when specific conditions are met, preventing unnecessary actions.
- Dynamic Data: Leverage the data from previous steps (e.g., file name, Acrolinx score) to create personalized and informative notification messages.
Expected Outcome
Once your Zap is published and you update a text document in your monitored Google Drive folder, if its Acrolinx content health score drops below your defined threshold (e.g., 60%), an automated email will be sent to the designated recipients. This email will clearly identify the document needing attention, state its low score, and include a detailed Acrolinx Analysis report covering scores, the number of issues detected, and specific issue details.
Troubleshooting
- Zap Not Triggering:
- Ensure you’ve selected the correct Google Drive folder.
- Check that the file type is a text document that Zapier can read (e.g., Google Docs, .docx, .txt).
- Verify the trigger event matches your action every time your zap executes (e.g., “Updated File” vs. “New File”).
- Acrolinx Check Failing:
- Confirm your Acrolinx API Token is correct and has the necessary permissions.
- Check that the “Content” field in the Acrolinx step is correctly mapped to the document’s text from Google Drive.
- Review the Acrolinx app’s error messages in your Zap history for specific guidance.
- Email Not Sending:
- Verify the email address(es) in the “To” field of the Gmail step are correct.
- Check your Zapier run history to see if the second “Filter” step (checking the Acrolinx score) prevented the email from being sent.
- Score Threshold Issues:
- Double-check the numerical value and condition (e.g., “less than,” “greater than”) in your score-checking filter.
